12-month Fixed Term Contract
Location: Winchester (flexible, minimum 1 day per week in the office)
We're looking for a highly organised Learning & Development Administrator to support training coordination and compliance across Octavius, with a particular focus on our Regional Civil Engineering (RCE) business.
RCE is the self-delivery arm of Octavius, supporting our Rail and Highways projects, as well as external clients across the UK. With ambitious growth plans, it's an exciting time to join and support the business to deliver at its best.
The role
In this role, you'll take ownership of training administration for RCE, while also supporting the wider Learning & Development team with core processes and activities.
You'll ensure our people are trained, compliant and ready to deliver by managing training records, booking courses and coordinating activity through our systems. Alongside this, you'll support the L&D inbox, induction administration and day-to-day queries from across the business.

Key responsibilities
- Maintain accurate and up-to-date training records within the Learning Management System
- Monitor training expiry dates and proactively manage renewals to avoid lapses
- Coordinate training bookings, particularly for plant and safety-critical qualifications
- Upload and manage certificates and ensure records are audit-ready
- Manage the L&D inbox, responding to queries and supporting the business
- Support company induction and onboarding administration
- Work with managers and stakeholders to prioritise training based on risk and operational need
- Produce reports on training compliance, upcoming expiries and associated risks
- Identify opportunities to improve processes and strengthen how we manage training
What we're looking for
This role is all about organisation, ownership and reliability.
Essential:
- Strong administrative skills, with excellent attention to detail
- Highly organised, able to manage multiple tasks and priorities
- Confident using systems, technology and Microsoft Office, especially Excel
- Reliable and proactive, someone who takes ownership and follows things through
- Strong communication skills to work with a range of stakeholders
Desirable:
- Experience in L&D, HR, compliance or training administration
- Experience using a Learning Management System, for example UKG Learning
- Understanding of training compliance within operational or safety-critical environments
